Analyse the effectiveness of oral and written communications in the hairdressing salon. Memo The memo was well written and it was conveying a professional image for the salon. It goes right to the point and easy to read. It doesn’t take to much time to read it because it’s written in few details. You can receives it from any were as long as you have your memo with you. The memo is fast it doesn’t take more than five minutes for somebody to receive it if it is sent by email. A manager can send one to his staff if something is missing then they can buy it quickly such as shampoo or hairbrushes etc.
An alternative to sending a memo would be to send either a message or an email. I chose to use a memo because staff do not have regular access to a computer in a hair salon but do have pigeon holes where any paper communication can be delivered and kept. Advertisement Advertisement it was very effective because it was the right document for the purpose. It has little information for the reader to read and it can be read by anyone it is designed in a unique way and it contains the offers and the styles. The business is more likely to attract more customers because many people read newspapers.
It lets the people that are in other areas know about the salon and what offers and hairstyles that they provide. It brings a lot more people to the business. An alternative to using an advertisement would be to send out leaflets. I chose to use an advertisement because I knew that many potential customers would see the advert in their local newspaper and it would catch their attention. If I sent out leaflets, there was the chance that they would be thrown away as rubbish. Minutes We needed something to record what we have discussed and the matters to be raised in the next meeting.
This is why we have minutes. It can be kept as proof of what went on in that meeting and it can be passed on to other people that were not in the meeting to show them what was discussed and things brought forward from the last meeting. The staff in the meeting will be able to remember what was discussed so that they can make the changes to the salon. And it helps to bring other issues in the store to be discussed in the next meeting. An alternative to having minutes would be a message but this would not be appropriate for a formal business meeting.
I chose minutes in order to have a formal record of the meeting and all that was discussed and action agreed in that meeting. Letters If somebody sends you a letter you are more likely to read it than a flyer so you send a letter in order to know that the person, you are sending it to will read it. In letters you can express yourself in many ways and you can put it in more details than in other documents. It’s laid out differently from another document, for example, it has the name and the address of the person it’s being sent to so that no one else can read it.
The hairdressing salon can write letters to tell their customers about discounts and offers. It will make the customer feel that he or she is important because a letter is personal, not like a flyer that is just given out to everybody. A flyer is not a good alternative to sending a letter as it is not personal enough and there is no guarantee it will reach the person you want to read it. Meeting In a meeting you can discuss issues with other people and benefit from having a broader response. Staff can come together in a meeting and discuss the problem until you come an agreement and deal with the problem.
In the meeting everyone can freely give his or her point of view on the things being discussed and also you can understand each other better because you are meeting face to face. In my meeting staff come together and discuss how they are going to improve the hairdressing salon and they talk about any problems that they have and how to deal with them. They upgrade the equipment in the store and the staffs that are not doing their job properly can get dismissed. An alternative to having a meeting is to email individuals and ask for their feedback.
I did not chose this form because it would be time consuming as I would have to communicate with lots of individuals rather than talking with everyone altogether. It would also be necessary to organise everyone’s responses and then email them again to follow up – this is not a practical way to communicate with all the staff at once. Agenda Agenda is easy to read, it just shows the order of the meeting and the things that are going to be discussed in the meeting. It doesn’t take that much time for somebody to read it. It goes straight to the point.
An agenda helps the people to forward scan and prepare themselves for the meeting so that it will be organized properly. This will benefit the hairdressing salon because the meeting will go quicker and they will know when to leave and to come back to the salon and work. An alternative to having an agenda would be to send a memo. However, this would be informal in style and therefore not appropriate for a formal business meeting. Also, an agenda is a formal record of what the meeting is to cover; a memo is informal and therefore would not be a reliable record of what the meeting is to involve. Email
Email is easy to read and it takes a few minutes for somebody to receive. Email is safe and confidential because it goes to a person that your have sent it to go to so nobody else can read it. With email you can express yourself in any way you want, it is informal in style and lay out. You can write it informal and formal and also you can write to all people and businesses. Emails give other people connections with the hairdresser without them having to come to the place themselves. People can use email to send orders or enquiries to the business. It is also another way that people can make appointments.
An alternative to using email would be to send a letter. However, sending individual letters would be slow and expensive. Therefore sending a letter would be an inefficient way of communication. Email is extremely efficient. Flyer Flyers are an appropriate form of communication. A flyer shows a professional image of the business and the reader doesn’t have to spend too much time reading it. It shows the reader the address of the store, the offers they are doing and any other information. They help to attract more customers to the hairdressers and it’s a way of advertising the hairdressers to the people.
The business can become better known by the people passing the fliers on to other people. The alternative to using flyers would be to place an advertisement in a newspaper or magazine. I chose to use the flyer because I wanted it to reach as many local people as possible and it is cheaper than buying advertising space. The flyer would reach everyone in the area and not just the people who would see an advertisement in the paper or magazine. Telephone On the telephone you can hear a person talking to you so you know that you are giving your information direct. It’s easy and fast.
You can communicate with a person in any place as long as you have their telephone number. The hairdressing salon can use the telephone to communicate with customers and people can call in to book appointments. This will help the business to prevent queues and long lines of customers waiting to be served. An alternative to using the telephone would be to send an email. However, this would not be appropriate as not every customer would have access to a computer and so clients could not always make contact with the salon. The telephone offers immediate and personal contact.
